Definitions

The following terms are used to describe features of a Responsibility Matrix:

Submittal

A submittal is a packaged deliverable from an external party. The packaged deliverable contains a coversheet describing the content of the package and a payload of one or more files. The coversheet is in a pre-defined format where a system can parse and understand the content of the package.

Workflow

The responsibilities are actioned using AssetWise workflow functionality. When a submittal is processed, documents are grouped by the properties that determine the responsibility matrix rule and processed via a single workflow. Workflow tasks and task assignments are determined by the responsibilities defined in the matrix.

Responsibility Matrix

AssetWise Responsibility Matrix (ARM) allows owner operators to define and enforce standard quality assurance plans, helping make sure that documents of specific type are always reviewed by specific people.

A responsibility matrix consists of rule set that determines who should get notified, perform review, consolidate and approve a given object.

Rule set is executed within the context of a single submittal. Every time a submittal is processed, the responsibility matrix is evaluated and necessary workflows are generated. Any changes to the responsibility matrix will only apply for new workflows instantiated after the change.

Any number of responsibility matrices can be created. Typically, one matrix per project is defined, but there are cases where more than one matrix per project is present. Based on the submittal properties, the configuration will determine what responsibility matrix is applied to the submittal.

Responsibility Matrix Configuration

Responsibility matrix configuration contains only the rule configuration, but not the rules itself. Rules are imported via the excel import and export processes defined below in use cases. The configuration stores the details such as number of levels in the matrix, the responsibility types, etc. Rules and matrix configuration managed separately and may be by different roles.

Responsibility

A responsibility is assigned to a person or a skill against a document or a set of documents. There are two types of responsibilities. Responsibilities that can be performed by more than one person at a time against the same set of objects, for example, "Review" responsibility. More than one person can review in parallel. Then there are other "singular" responsibilities, for example, the "Approve""responsibility. The same document cannot be approved by more than one person, in parallel. If there are multiple approve responsibilities, then they must be sequential.
